Support services

We provide support services that facilitate your business and the work with your management system. Let us facilitate your everyday operations!  The different support services are separate and are easily combined however you wish. It is also possible to add or remove support services at a later time.

Law database

Altea AB provides a unique law database that is entirely specific to the company. The law database covers everything from local and national official regulations for Swedish Code of Status (SFS) and EC law. 

Affiliated companies are able to revise their content an unlimited number of times because this service should be adapted to changes in the business and be the most efficient tool possible.

The law database currently contains all regulations from 1736, and large parts of ECs secondary law (directives and regulations). Furthermore, it includes many official regulations and many industries supplier rules and standard contracts. In the unlikely event that something requested currently isn’t found here, Altea AB will add it free of charge.

Companies affiliated receive a body of law which is tailored to their business and covers the legal areas the company is affected by. Here you can find reporting and accounting rules for the company financial department, tax legislation, social security contributions etc. for the payroll department, labor standards applicable to safety delegates and environmental law for environmental managers and so on. The law database is updated regularly so that all the material is always found in its latest version.

To comply with ISO 14001 and OHSAS 18001 standards the company is only required two documents, namely:

1. A governing document of current topics that also tells how you are affected by their field.

2. A record that documents compliance controls. This document is signed at the compliance control.

Companies affiliated to Altea AB law database always have access to the latest version of all legal and other requirements that concern them, a brief description of how they are affected and a summarizing where lawyers comment on major changes to environmental, health and safety matters, and how courts in the future might interpret them. The service also includes other tools such as a legal dictionary with about 3600 entries and access to documents being drafted and court cases.

Document management

Altea AB offers customers a modern IT-based document management system. The system automatically keeps track of editions, who makes changes and who approves the changes.

You may as users customize your own directory structure and the built-in filter function makes it easy to find in your management system. It is possible that as the administrator edit any user who has access to documents and you are able to e-mail directly from the system to send documents to external recipients.

The system also includes a built-in receipt function which means that you as an administrator can demand the reading receipt from your users, who must verify and acknowledge that they have read the updated document.

Templates

The support service provides approximately 900 templates for individuals and businesses. Companies that have access to this support service decide themselves which of its user accounts that will have access to the templates. Each account has the ability to create their own list of favourite templates.

The templates are divided into categories and can easily be found through a search engine. Most types of templates, have a manual that describes the legal requirements for this type of templates as well as what to consider. Examples of templates are employment contracts, performance appraisals, purchase contract for shares, leases premises, risk assessment, safety inspection, the employer's permits to use forklifts, instalment plan, debt collection, usage agreement, wills, prenuptial agreements, cohabitation agreements and probate.

Companies that have access to Altea AB's legal templates get to free of charge make proposals on missing templates they need and that they want Altea AB to create.

It is also possible against compensation get help with customized templates, ranging from wills to supply or generational shifts of companies.

Nonconformity management

Our support service for handling nonconformities meet the requirements of the ISO standards on complaints, nonconformities, accident- and incident reporting, modification and additional work and suggestions on improvement.

With a simple push of a button, the service converts the nonconformity into pdf format that can be stored on the user's computer. It is also possible to send the nonconformities to the other user by entering their email address.

The system logs who register, corrects and follows up nonconformities. There are five different templates in the support service. The user chooses in which categories / folders different nonconformity are to be placed. All nonconformities follow three steps: registration, action and follow-up.

A search engine makes it easy to sort out nonconformities by status, who is responsible for them or other keywords. The service also has a mobile-adapted version that makes it easy for the user to register, for example, a nonconformity with their mobile phone and attach a picture taken with the mobile camera. The service works supports all types of mobile operating systems.

Activity management

The activity management support service helps you keep track of planned activities. It can e.g. be agreements that are monitored, an overview of the company's equipment subject to inspection or the annual planning of the systematic work environment work. The user chooses in which categories / folders the different activities are to be placed. All activities follow three steps: registration, reminder and follow-up. A search engine makes it easy to sort out activities by status, who is responsible for them or other keywords.

User permissions can be adjusted generally or individually for each activity. A user may have permission to follow up on certain activities but may not even have permission to read others. The system sends out reminders to registered email addresses on specified time. This also applies to recurring activities. The system logs who register and follows up activities.

Surveys

Our survey tool allows you to create, send and analyse surveys. Create survey questions with page handling, multiple types of questions and a time limit. Collect answers by sending the link by email or through your own customer relationship management system (CRM). Each survey is converted to an analysis sheet with cross tabulated filtering. All survey results summaries are gathered in your management system and you can easily find relevant information at the right time!

Survey templates – All surveys are stored online and can be used as templates. Once your account is activated, you have several templates from the beginning such as: Work & Health (Swedish & English), Customer survey (Swedish & English) and supplier assessment.
